Privacy Policy

This policy explains how Pascat Graphics & Marketing collects, uses, shares, and protects personal information in connection with Voice by EstimatorPro — including call recordings, transcripts, and the information of people who call our customers.

1. Our role & who this covers

Pascat Graphics & Marketing ("Pascat," "we," "us") operates Voice by EstimatorPro (the "Service"). This policy covers two groups: (a) our business Customers who subscribe to the Service, and (b) Callers — the end customers who call, text, or chat with a business that uses the Service. For Caller data processed through the Service, our Customer is generally the controller of that data and we act as a processor/service provider on the Customer's behalf, subject to our agreement with them.

2. Information we collect

From Customers

  • Account & business details: name, business name, email, phone, address, and the services, pricing, hours, and knowledge you provide for your agent.
  • Billing information processed by our payment provider (we don't store full card numbers).
  • Usage and support data: logins, settings, configuration, and communications with us.

From Callers (via our Customers' use of the Service)

  • Phone number, name, and any details a caller provides (address, the nature of the job, preferred times).
  • Call audio recordings and transcripts, where recording is enabled.
  • Text message and website-chat content exchanged with the AI.
  • Call metadata: time, duration, and outcome.

Automatically

  • Website usage data and cookies — see our Cookie Policy.

3. How we use information

  • To provide, operate, and improve the Service — answering calls, qualifying callers, booking appointments, delivering leads, and producing transcripts and recordings.
  • To configure and tune your AI agent and troubleshoot issues.
  • To bill you and manage your account.
  • To maintain security, prevent fraud and abuse, and comply with law.
  • To improve our models and Service quality, using data in a manner consistent with our agreements and applicable law. We do not sell personal information.

4. Call recordings & AI disclosure

Recording laws vary by state, and several require all parties to consent. Our Customers are responsible for enabling appropriate recording notices and obtaining any required consents from their callers. We provide configuration tools and guidance to help. See the Calls & Messaging Terms for details on call recording, consent, and AI disclosure.

5. How we share information

We share information only as needed to run the Service:

  • Service providers / subprocessors: telephony, messaging, AI/model, cloud hosting, and analytics providers that process data under contract on our behalf.
  • With the relevant Customer: Caller data is shared with the business that the Caller contacted.
  • Legal & safety: to comply with law, enforce our terms, or protect rights and safety.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this policy.

We do not sell personal information and do not share it for cross-context behavioral advertising.

6. Data retention

We retain Customer and Caller data for as long as needed to provide the Service and for legitimate business and legal purposes, then delete or de-identify it. Customers can request export or deletion of their account data as described below; some records may be retained where required by law.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including access controls and encryption in transit. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to opt out of certain processing. Callers should direct requests to the business they contacted; we will assist that business as its processor. Customers and others may contact us at pascatgraphics@gmail.com. We will verify and respond as required by law and won't discriminate against you for exercising your rights.

9. Children

The Service is for businesses and is not directed to children under 13 (or the minimum age in your jurisdiction). We do not knowingly collect their personal information.

10. Where data is processed

We operate in the United States, and information may be processed there and by our service providers. If you access the Service from outside the U.S., you consent to processing in the U.S. and other locations.

11. Changes to this policy

We may update this policy and will revise the "Last updated" date. Material changes will be communicated by reasonable means.

12. Contact us

⚠ Template notice: This Privacy Policy is a starting template, not legal advice, and we are not your attorneys. Depending on where you and your callers are located, laws such as the CCPA/CPRA, other U.S. state privacy laws, GDPR, and call-recording statutes may impose specific disclosures and rights. Have a licensed attorney review and complete it — including your real entity name and address, your actual list of subprocessors, retention periods, and any required state-specific or GDPR sections — before publishing.
